Administrators: Section Management - Managing the Affiliations Cap

In CACWT, administrators are able to manage course section capacities down to the Affiliations (organizational group) level.  This means that if a course has a total capacity of 100, the learner enrollment spaces can be broken down to learners in various counties or other organizations, marked by the Affiliations field in CACWT. This section highlights how to manage this.


Instructions:


1. From the sidebar of your CACWT dashboard, select Sections and click on Sections from the drop-down menu that opens.

2. Search for the section you’d like access to by using the filters, which include the section ID number, Section name, Status, Affiliation, Instructors, Start Date, End Date, Number of Enrollments, the enrollment Cap, Credits, Terms, LMS, and LMS ID.

3. Once located, click on the section’s ID number or name and you will be taken to the section’s information page by default. Aside from accessing the usual Section information, new options has been added in the lower grouping of menu item.  Note the Affiliation Cap menu item.

Affiliations Cap

  • Upon clicking on the Affiliations Cap option, A list of all CACWT Affiliations are displayed with a box that may contain the number of allocated slots for members of that affiliation group.

  • The administrator may allocate course capacity to any group up to the total Section Capacity, shown.

How It Works

In the example above the Section Capacity is 10, but the allocated capacity is 8.  This leaves 2 slots available for any other learner.
For instance, the Section enrollment is at total capacity.  with 5 learners on the waitlist.
  1. If a learner from Alameda withdraws, the slot goes to the next available Alameda learner on the waitlist. if no Alameda learner is currently on the waitlist, the slot remains vacant, until the administrator changes the Alameda capacity. The same applies to a Contra Costa County withdrawal.
  2. If an open enrollment slot is available (non-Alameda, non-Contra Costa), then the available enrollment goes to the first non-Alameda, non-Contra Costa learner on the waitlist.
