Thank you for your interest in improving the virtual training experience for the California Child Welfare Training (CACWT) system. This document outlines the purpose, eligibility requirements, and expectations for participants in the "Class for Zoom" pilot program.


1. Purpose and Goal of the Pilot

The primary goal of this pilot is to rigorously evaluate the "Class for Zoom" platform as a potential solution to enhance our virtual instructor-led training sessions.

  • Key Objective: The pilot program is designed to be a collaborative effort. Through your participation, we aim to:

    • Identify specific areas for improvement within our current virtual training delivery.

    • Evaluate and identify effective solutions to existing technological and logistical challenges.

    • Facilitate focused discussions and strategic planning that will lead to the successful implementation of new tools and processes.

  • The Challenge: Our current training environment presents several operational challenges that this pilot seeks to address. These include:

    • The absence of a native, fully integrated conferencing platform designed for training.

    • Inconsistent user experiences and technical support across various devices (desktops, tablets, mobile).

    • Difficulties in accurately tracking participant attendance and measuring engagement during sessions.

    • Manual, time-consuming processes for updating and verifying attendance records post-training.

  • A Potential Solution: To address these challenges, we are piloting "Class for Zoom." This platform is built on top of Zoom and offers a suite of tools specifically designed for virtual learning. It has the potential to:

    • Streamline the training process by consolidating courseware, presentations, polls, and evaluations into a single, unified interface.

    • Offer advanced features to manage classroom activities and monitor participant engagement in real-time.

    • Provide capabilities to automate and simplify attendance tracking.

    • Standardize the technology and support model for all virtual training sessions, ensuring a consistent experience for all users.


2. Applicant Eligibility

To ensure we gather relevant and effective feedback, pilot participants must meet the following criteria:

  • Role: Must be an active member in the CACWT system, including training assistants or administrative staff responsible for training coordination.

  • Upcoming Training: Must be scheduled to lead, co-facilitate, or provide primary administrative support for at least one virtual training session during the designated pilot period.

  • Technical Aptitude: Must be willing to learn and adapt to a new technology platform and have access to a reliable internet connection and a computer (desktop or laptop) that meets Zoom's standard system requirements.

  • Commitment to Feedback: Must be committed to actively using the platform's features and providing detailed, constructive feedback on your experience.


3. Expectations After Concluding Pilot Session

Your active feedback is the most critical component of this pilot's success. Following the conclusion of your assigned training session using "Class for Zoom," you will be expected to:
  • Complete a Post-Session Survey: Within 48 hours of your session, you are required to complete a comprehensive survey. This survey will cover topics such as platform usability, effectiveness of training tools, feature performance, technical issues, and your overall experience compared to the current method.

  • Provide Specific Examples: Be prepared to offer specific, actionable examples of what worked well and what could be improved. For instance, "The automated attendance report saved me 30 minutes of administrative work," or "I found it difficult to manage breakout rooms using the new interface."

  • Participate in a Debrief Meeting: You may be invited to a group debrief session with other pilot participants. The purpose of this meeting is to discuss findings, share insights, and collaboratively brainstorm solutions.

  • Maintain Confidentiality: Participants are asked to maintain confidentiality regarding the pilot's internal discussions and preliminary findings until an official summary report is shared with the wider organization.
